We collect the following personal data when you complete a booking form:
Parent/Guardian details
- Name
- Email address
- Phone number
Child details
- Child’s name
- School
- Allergies
Booking information
- Sessions booked
- Attendance dates
3. How we use your data
We use your data to:
- Manage bookings and attendance
- Ensure your child’s safety and wellbeing
- Contact you about sessions, emergencies, or changes
- Process payments (via Stripe or payment provider)
- Maintain safeguarding records

We process your data based on:
- Contract (to provide childcare services)
- Legal obligation (safeguarding requirements)
- Legitimate interests (running and managing the club safely)

- Data is stored securely in our website system and/or booking records

We do NOT sell your data.
We may share limited data only with:

TERMS & CONDITIONS
1. Booking and payment
- All bookings must be made via our website form
- A place is only confirmed once payment is received
- Payments are processed via our payment provider (e.g. Stripe)
2. Cancellations and refunds
Cancellations made 24 hours or more before the booked session will receive a full refund or credit for the next term.
Cancellations made less than 24 hours before the session start time are not eligible for a refund, as staffing, planning, and places have already been allocated.
If a child does not attend a booked session without prior notice, the session will still be charged.
3. Child safety and conduct
- Children must be collected by an authorised adult
- We follow safeguarding procedures in line with UK guidance
4. Medical needs
- Parents must provide accurate medical and allergy information to the school
- We must be informed immediately of any changes
- We are not liable for issues arising from incorrect information provided
5. Late collection
- Late pick-ups, 30 minutes after the session ends will incur an additional charge of £30
6. Liability
- We take reasonable care of all children in our care
- We are not liable for minor injuries that occur during normal activity
7. Changes to services
- We may change session times, pricing, or availability with notice
8. Agreement
By submitting a booking form, you agree to these Terms and Conditions.
